Map your account, subscription, and Copilot license
“I have Microsoft Copilot” is not enough information to predict features, source access, privacy terms, or admin control. Build a dated map of the identity and product label you are using.
Identity comes before license
A personal Microsoft account and a Microsoft Entra work or school account are separate records. The organization creates and manages the work or school identity; the two identities do not synchronize merely because they use a similar email address.

Consumer and home-subscription experiences
You may encounter free Microsoft Copilot, Copilot inside supported Microsoft 365 Personal or Family apps for the subscription owner, or additional Microsoft 365 Premium features. AI usage limits and owner-only benefits can apply.
Privacy must be checked by surface. Consumer Copilot conversation controls and Copilot inside home Microsoft 365 apps do not have one interchangeable privacy statement.
Work or school account
Organization-managed Copilot experiences
An eligible Microsoft 365 subscription can provide protected Copilot Chat without a separate Microsoft 365 Copilot add-on. The add-on can provide broader work grounding, richer Microsoft 365 integration, priority access, and advanced agents.
Your administrator can limit web search, apps, agents, file access, storage, and other behavior.

Start with the active identity, then record the visible product label, subscription, assigned license, and tenant conditions.

The practical distinction: deliberate context vs broad work grounding
Copilot Chat without the add-on is not limited to generic questions. It can work with content you deliberately attach, paste, reference, or open in a supported app. The paid Microsoft 365 Copilot experience adds broader organizational grounding through Work IQ.

Public information
Copilot can use current public-web information when web search is allowed. Check citations and remember that web-query handling differs from Microsoft 365 customer-data processing.

Broader permitted organizational context
With the add-on, Copilot can use relevant emails, files, chats, meetings, people, projects, and connected business context that the user may access.
If you use a personal entitlement at work
Microsoft supports some admin-controlled scenarios where a qualifying personal subscription provides Copilot capability while a work identity controls the open work document.
The work identity still governs file access, auditing, permissions, and compliance. The experience can work with the current document, but it does not automatically provide broad Microsoft Graph access to other organizational content. Confirm that your organization permits the arrangement.
Exercise: complete your dated access map
Do not ask Copilot to guess this information. Read the profile, product label, subscription page, or admin-provided license record.
- Record the active sign-in. Write Personal or Work/School, the email domain, and the browser or app profile.
- Copy the visible Copilot label exactly. Add a screenshot date to your private learning record if policy permits; do not publish account details.
- Record the subscription and assigned add-on. Use Microsoft’s license checker or your administrator. Write “Not confirmed” when evidence is missing.
- List important tenant conditions. Note web search, app access, agents, storage, and any policy limits you know.
- Write the safe default. State which Copilot surface you will use for course exercises and which data you will exclude.

Does a Basic label mean the user is in an unsafe consumer experience?
No. A signed-in organization-managed Copilot Chat experience can receive enterprise data protection. Basic describes the service/access level, not consumer identity.
Can Copilot Chat without the add-on work with a work file?
It can work with permitted content the user deliberately attaches, references, pastes, or opens in supported contexts. What it lacks is the add-on’s broad ambient grounding across organizational work.
Why should the map include a checked date?
Labels, entitlements, limits, tenant settings, and rollouts change. A dated record shows when the conclusion was true and when it needs re-verification.
